New Accounts: To establish credit and open an account, Miles Petroleum, Inc., will obtain a copy of any new customer's credit report. The information gathered will be strictly confidential and will not be available to anyone not on the account.
Keep Full Customer: A Keep Full Customer is a customer who has approved credit only. Miles Petroleum, Inc. will deliver fuel oil based upon the Degree Day System and will monitor it year round. Keep Full Customers may receive a 4¢ per gallon discount if they pay their entire invoice upon delivery or within 7 days of delivery.* The cash discount will not apply if the customer completes the transaction with a credit card. If a customer allows their account to remain unpaid for over 30 days, the account will automatically revert to a WILL CALL - Cash On Delivery account.
*The customer may not receive a cash discount if they participate in any other program offered by Miles Petroleum, Inc.
Will Call Customer: A Will Call Customer is a customer who is responsible for keeping track of their fuel oil usage. When a Will Call Customer requires a fuel delivery, they must give Miles Petroleum, Inc. a 24 hour notice to deliver. If a Will Call Customer requires an immediate same day delivery, the customer must place the order with Miles Petroleum, Inc., before Noon. A $50 service fee will be charged. If the customer calls after Noon, after business hours, or on a weekend, Miles Petroleum, Inc., will charge a $75 service fee. An emergency delivery on a holiday will require a $100 service fee.
Minimum Delivery: Miles Petroleum, Inc.'s fuel oil price is based on a 150 gallon delivery. 100 gallon deliveries are 10¢ per gallon more, 75 gallon deliveries are 25¢ more and 50 gallon deliveries are 50¢ more than the posted price.
Keep full accounts receiving deliveries based on the Degree Day System are not subject to these minimums as long as Miles Petroleum, Inc. is filling their tank.
Cash Discount: Miles Petroleum, Inc.'s cash discount* is 4¢ per gallon on deliveries over 150 gallons. The discount is based on payment made, on date of delivery or within 7 days of delivery. It is the customer's responsibility to make sure that payment is received in our office within 7 days of delivery.
Approved Credit: Approved Credit applies to customers who have a Beacon Score of 650 or higher. These customers must also keep their Social Security Number, Driver's License Number and birth date on file at Miles Petroleum, Inc.
Cash On Delivery: Cash On Delivery (COD) is available to customers who have not provided information for a charge account, who have a poor credit rating and/or have failed to pay their account with Miles Petroleum, Inc., in a timely fashion. All COD customers must either pay for their fuel before Miles Petroleum, Inc. delivers, OR someone must be home during the delivery to pay the driver, OR the customer must leave the payment for the driver in a predetermined place. If the customer fails to meet the above requirements, Miles Petroleum, Inc., will not leave the fuel and will charge the customer a $50 delivery fee to reschedule the delivery. The Will Call policy also applies.
Payment Options: Miles Petroleum, Inc. will accept Visa, MasterCard, Discover, cash or check*. The cash discount will not apply if a credit card is used to purchase fuel. A service charge or $25 will be assessed for each check returned to Miles Petroleum, Inc., and shall be paid in full with cash or certified funds within 48 hours of notification.
*Miles Petroleum, Inc., cannot accept checks unless the customer has his or her Driver's License Number, birth date and home telephone number on file at Miles Petroleum, Inc.
Budget Program: The Budget Program is designed for customers that want to make equal monthly payments for their heating fuel. Please note, Miles Petroleum, Inc., has changed their Budget Program from 10 months to 12 months. Miles Petroleum, Inc., will compute the amount of fuel used during the customer's past season by the estimated fuel price and then divide that number by 12. The customer will receive a statement each month showing the activity on their account. The Budget Program customers are also on a Keep Full schedule so long as Miles Petroleum, Inc., receives timely payments. If the customer misses a budget payment, their account automatically switches to a COD/Will Call account.
Degree Day System: The Degree Day System is based upon the weather conditions as opposed to the route system. Deliveries are made based upon the following formula. High temperature minus low temperature (figure in wind chill if necessary). The mean temperature is then applied to the size of the customer's tank, the size of the fuel delivery and the amount of the fuel used since the customer's last delivery.
Deliveries are then scheduled based on what the outside temperatures are rather than time, or simply put...If it is colder than normal, Miles Petroleum, Inc., will deliver more often, and if it is warmer than normal Miles Petroleum, Inc., will deliver less often.
Equipment Leasing: Miles Petroleum, Inc. will place equipment (i.e. tanks, pumps, etc.) at a commercial customer's location for the customer's sole use. Qualification for equipment is based on volume of usage. Customers with lesser volumes can qualify, however a charge may be imposed.
The customer must agree that only fuel sold by Miles Petroleum, Inc. is to be placed in leased tanks. If the customer allows another fuel company to place fuel in the tanks, the tanks will promply removed. Miles Petroleum, Inc. does not lease home heat tanks.
Privacy Policy: Miles Petroleum, Inc. considers the privacy of its customers or former customers to be a matter of the utmost importance. We believe that any personal customer data provided to us should be treated with the highest level of regard for the confidentiality of personal and financial information.
This Policy is being provided to outline our current policies and practices with regard to how information about individual customers is collected and used. This Policy will be updated annually as needed.
Non-Public personal information is collected through information required on forms and applications. This may include names, addresses, phone numbers, Social Security numbers, and other account information. This information can also be collected through electronic media. Information is also collected about your transactions with us.
Miles Petroleum, Inc. will not sell your personal information. In addition, we will not give to or share your personal information with any unaffiliated third party unless written permission is granted.
Customer information is only made available to those Miles Petroleum, Inc. employees who need access in order to provide products and services to you.
